Does certification expire? If so, how often do we have to reapply?

Yes, certification expires. You will have to reapply once a year.


Now that we are certified, what should we do?

If you are being certified for the first time, or have moved from one level to the next, contact anyone who you are currently sending data to and let them know about the change. It is highly recommended that you do not just start sending the new file without first contacting the recipient to let them know of the change. They may need to make a change to their systems before the new file can be accepted.

We are a distributor for a number of publishers. What is the best way to send our data for each publisher to you?

You can send it all in one file, or individually. The preferred method is to get all your publishers to certify themselves at the Bronze level, then certify yourself at Silver or Gold level.

Another way to do it is to send each publisher’s list of books separately, but this is not as effective and will require more work from you later on when submitting to agreggators (instead of simply sending one larger file).


Can we submit a sample of our data?

Yes, you may submit a sample for us to review and be sure you are entering data into the fields correctly. However, we will need to see the whole database before we can certify you.


Do we have to list all the titles we publish?

Yes, we would like to see a complete list of all your titles in every status.


We are a publisher and a distributor handles our data submission. Should we still apply for certification?

Yes, it is a good idea for both publishers and distributors to apply for certification. This is because nobody knows the information that should be conveyed to the consumer better than yourself, and by being certified you will have a record of your titles, and their bibliographic information, available in a standard format for anyone that requests the information (i.e. retailers, distributors, bibliographic aggregators).


Is it okay to add, remove, rearrange or break up any fields within the BNC Excel template?

No. This is a standard template, which means all fields have to be the same for everyone using it. Please do not modify the template in any way, and only use the latest one available on the BNC website.


Our discount percentage changes depending on whom we are supplying to. What do we do with this field and who will have access to this information?

The discount percentage is a trading partner specific feed and, unfortunately, it means that you have to change the values in that column for each trading partner that has a different discount. If you are sending us a file for certification you can either leave that column empty and tell us you have done so purposely, or you can populate it with real values. The information in the file submitted for certification is only viewed by us and is not passed onto anyone else.


How do we specify bilingual titles in the BNC Excel Template?

Currently, there is no way to do this in the Excel template. You will have to specify either ENG or FRE for now. This is a change we are working on for the next revision of the template.


What should we do if we list other prices than Canadian for our books?

This is why many publishers and distributors are switching to ONIX and going for Silver or Gold certification. Excel is limited and yes, you can only list the Canadian price for now.


Indigo indicates their maximum field length for character strings is 250 characters. If our field is longer than that, what happens?

The string will be truncated to the maximum allowable within an Excel file, that is, 255 characters. Within Indigo’s database, it will be truncated to 250 characters.

 

Bibliographic Certification

Canadian Bibliographic Certification tests a publisher or distributor's production file for structure, content and other criteria.

Certification criteria is based on the three levels of the Canadian Bibliographic Standard and feedback from data aggregators.

 

Moving On Up: Silver

and Gold Certification

The Canadian Bibliographic Standard has three tiers, with each tier becoming progressively more comprehensive. Moving up in certification levels is a really good thing - the better your data, the better chance your books have of selling in today's market.

What's a publisher to do? Luckily, BNC has a number of tools and supports to help you move up your certification level by creating and enhancing quality data for your books.

The Three Levels

  • Bronze: contains the minimum mandatory data required to trade in the supply chain to ensure that titles are listed accurately. Bronze level files are sent using the BNC Bronze Template.
  • Silver: contains the same data elements found at the Bronze level, but is transmitted through ONIX 2.1. Silver files contain a minimum amount of bibliographic data publishers and distributors need to store and transfer when trading in ONIX.
  • Gold: contains all Silver requirements plus additional marketing information such as cover image, set and edition details, number of pages and reviews or descriptive text.

The Bronze Template

The Bronze Template is an easy-to-use, clear guide to your first tier of certification. By downloading the template and style guide below (and, well, filling it out), you've created a certifiable file.

If you know how to use Excel (or really any spreadsheet program), then you're already on the homestretch.

Silver Certification Through Exa Editor

Once you have the Bronze Template safely in hand (and you've been certified at the Bronze level), you can use Exa Editor to move into ONIX and onto Silver certification.

To be guided through this process, open up Exa Editor and click on Help -> User Manual. From there, you can open up Usage -> Reference -> Import Menu Usage -> Introduction

Note: when you do this process, the ProductFormDetail column will be omitted. To get around this, after you have loaded your flat file (as directed in the Exa Editor Help file):

  1. Right-click in any white space next to any of the fields, and click Add -> Add -> ProductFormDetails
  2. You can now proceed to match up your columns with the correct data fields in Exa Editor, including the ProductFormDetail data element

Upgrading to the Gold Level

If you are already at the Silver level of certification, and you wish to use our free ONIX-editing tool Exa Editor to upgrade to the Gold level, you will need to insert the following fields:

  • Barcode
  • OtherText
  • MediaFile (for cover image)
  • AudienceCode

To convert from a Silver-level file into a Gold-level file:

  1. Open the file in Exa Editor
  2. Click File -> Save As
  3. Choose BookNet Gold in the Save As Type dropdown menu in the dialogue box
  4. Click Save

The file will re-load in Exa Editor with the Gold-level validation scheme.

To add the new Gold-level fields manually:

  • MediaFile composite: Right-click in any white space in a product record, and click Add -> Add MediaFile. This is where you will insert the references to cover images for all your products.
  • OtherText composite: Right-click in any white space in a product record, click Add -> Add OtherText. This is where you will enter data such as author bios, or short/long descriptions for the book, etc. Every product should have at least one of these.
  • AudienceCode: Right-click in any white space in a product record, click Add -> Add AudienceCode. Enter the appropriate code into the fields that are inserted.
  • Barcode: Right-click in any white space in a product record, click Add -> Add Barcodes. This is automatically populated with "00 - Not Barcoded". Change this when necessary.

Most of these are hooked up to dropdown menus which you can use to populate them. The only ones you'll have to enter yourself are the image name in the MediaFile composite, and the text in the OtherText composite.

BNC Bronze Template

If you're new to Canadian Bibliographic Certification, the BNC Bronze Template is the best place to start.

The Bronze Template was created in order to meet developments in the supply chain, provide better support to retailers and ensure compatibility with the US certification program. This template is identical to the one now supplied by Indigo for updating and should be considered the standard spreadsheet exchange format for Canada.

How Does It Work?

If you know how to use Excel (or really any spreadsheet program), then you're already on the homestretch. Just use the Column Headers to enter the required title information for your books. It's seriously that easy.

Bronze Template 1.2

The Bronze Template was updated in Fall 2008 in response to a need for greater Canadian-specific data and to keep in step with the US market and their certification program.

As the industry exchanges data it builds a need for more finely grained information, and more of it. EDI and other data exchange networks like GDSN need specific elements to be included. The Bronze Template is intended to represent the minimum data elements needed currently to support the supply chain and retail sales.

Supporting a marketing program that involves online retailers, libraries and others needs more data, including systematically archiving appropriate images and descriptive information that can be supplied using the ONIX XML standard. Like producing catalogues and material for your sales force, it's another tool to support sales. And like these familiar materials, marketing material sent via XML requires preparation and care if it is to be used effectively.

New columns added include:

  • BISAC Regional Theme
  • Publishing Status
  • Discount Percentage remains, but use is discouraged and we recommend use of Class of Trade (next)
  • Terms of Trade is now called Class of Trade
  • Each Contributor now includes a Country Code
  • Edition Type Code
  • Audience Code
  • Audience Range Qualifier
  • Audience Range (From)
  • Audience Range (To)
  • Audience Range (Exact)
  • Audio Book Running Time

Converting Your Old Template

If you have data in your old template, you can convert it into the new template by inserting columns where the new data goes and then using cut and paste to move it to the new template.

Note: we recommend working from a copy of your current data and having a replacement new template available just in case.

In the old template, insert a column by highlighting each of the following and using Excel's Insert function to add a column in sequence.

  • Column L (Supplier Name)
  • Column R (Product Availability)
  • Column AL (Contributor 2 Role)
  • Column AQ (Contributor 3 Role)
  • Column AV (Language)
  • Column BA (Edition Statement/Description)

After that, it's just a matter of highlighting the data in the old template and pasting it into the new template. Check it thoroughly - Excel can be funny about cut and paste and data can be lost if you're not careful. Make sure that everything displays in the old template the way you want it to appear in the new: dates and long number strings like EANs in particular are a source of problems. You might need to stabilize the display by converting the cell format to Text.

And, of course, where appropriate all the new data points should be supplied following the rules in the new Styleguide. The template has a separate tab that includes specific suggestions about the new data - most publishers will find it straightforward. Children's books (which will need age ranges) and audio books (which will need duration times) will be the most trouble, but this data is important to retailers and can help sales.

Believe in the Standard

Booksellers expect (and their programming demands) that the column order and the top line header information be identical, so be sure to always send a standard template. Always warn retailers when you change templates - they should have no problem accommodating either the old template or the new one so long as they know what they have.

Keeping the column order and headers intact doesn't mean you can't sort the spreadsheet to make data entry easier or to check your data. You can sort rows (individual book records) so long as you're careful not to disassociate information in columns from each other. The order of the records doesn't matter to the recipient since they load the data based on the name and order of the columns.


ONIX and Enhanced Marketing Materials

BookNet strongly recommends that anyone using the Bronze Template without access to the support of an ONIX program through another firm such as their distributor or who has access to such support but isn't feeding enhanced marketing information into it, should seriously consider its benefits. It can affect sales and consumers expect it.

The basics remain the same: title, author and price combined with a good cover, supported by interesting descriptions about the book and author, and timely updates - only now it's not just the new books but the whole list that needs it.

Certification Survey

  1. Respond to the appropriate certification survey:
  2. Email biblio@booknetcanada.ca a live data file (the same one you would send to Bowker or Indigo).

Certification Evaluation

The file will be evaluated using the following metrics:

  • Data accuracy
  • Formatting
  • Adherence to the Canadian Standard
  • Feedback from bibliographic aggregators concerning:
    • the quality of the data in your files
    • how frequently the data file is provided
    • how far in advance of publication data is provided for titles

The BNC audit group, made up of booksellers, database maintainers and others, will review responses to the online questionnaire. The results of the data file evaluation plus the feedback from data aggregators will grant certification.
